For business owners drowning in admin

I replace the apps, spreadsheets, group chats and paper you run on with one custom platform, built around how you work, so you can get organized and scale up.

The platforms I’ve built run my own company, Valora Concierge, and two traffic control companies with 53 workers.

Vlad Pavel

Most businesses run on 7 different apps. None of them talk to each other.

  • Spreadsheets
  • Group chats
  • Calendar app
  • Invoicing app
  • Timesheet app
  • Email threads
  • Paper forms

Bookings in one app, invoices in another, the schedule in a spreadsheet and the team in a group chat. You’re in the middle, copying between them.

Sound familiar?

Where your week goes, and your money with it.

  • Only you can price a job, so quotes wait for your weekend.

Instead: your price rules, built in, so anyone on your team can quote in minutes.

  • Enquiries land in texts, DMs and email, and some never get a reply.

Instead: one inbox for every enquiry, sorted by who’s still waiting.

Firms that reply to an enquiry within an hour are nearly 7 times as likely to reach the decision maker as those that reply even an hour later. Harvard Business Review (2011)

  • The crew gets tomorrow’s plan by group text, and last-minute changes get missed.

Instead: everyone sees their own jobs, and every change, on their phone.

  • Hours come in on paper and get typed into payroll again.

Instead: timesheets fill in from the job and go to payroll approved.

  • Invoices go out a week after the job, then you chase them.

Instead: invoices go out when the job is done, with reminders for anything overdue.

  • You find out how the month went a month later.

Instead: revenue, profit per job and what’s overdue, live.

Your numbers

What all that juggling costs you.

Owners of growing businesses spend about 16 hours a week on admin, more than a third of their working week, in a survey of over 250 of them. Put in your own numbers.

Survey by Time Etc, in ACCA’s AB magazine (2025).

Per seat or per company, add it all up. Leave out anything you’d keep, like your accounting app.

Typing things in twice, chasing invoices, sorting schedules.

Average wage, plus the extras you pay on top.

What admin and software cost you a year

$40,480

$33,280 in admin time and $7,200 in software. Example numbers until you put in yours.

What I do

Software built around your business, not the other way around.

Here’s how I bring it into one place, step by step.

Your business lives in spreadsheets, group chats, email and paper. Every answer means digging through all of them.

Fewer apps, fewer mistakes, more time for the work that pays.

Work

What I’ve built:

  • 01 · Valora Concierge

    Luxury concierge

    Visit valoraconcierge.com

The platform that runs the Vancouver luxury concierge company I co-founded. Every service it offers, from chauffeurs to yacht charters, runs through one place, from a client’s first request to the final invoice.

Built alongside the business, and running it since spring 2026.

    Features:
    • Bookings
    • Calendar
    • Fleet & assets
    • Invoices
    • Card payments
    • Contracts
    • Partners
    • Reports
  • 02 · Traffic control platform

    Construction

The operations platform I built for traffic control companies. One app with four sides: owners see the whole company, the office plans and bills each day, crews get their work on their phones, and customers follow the work on their site and sign off the hours.

Two traffic control companies and 53 workers have run on it since August 2026.

    Instead of:
    • Scheduling app
    • Dispatch app
    • Crew messaging app
    • Timesheet app
    • Traffic plan software
    • Safety forms app
    • Whiteboard
    • Radios
    • Group texts
    • Paper binders
    Features:
    • Dispatch
    • Crew app
    • Crew walkie
    • Traffic plans
    • Timesheets
    • Customer sign-off
    • Owner view
    • Incident reports
    • Guided training
    • Reports
  • 03 · Compliance assistant

    Safety management

An assistant that gives civil construction workers a straight answer to a safety question on the spot, so nobody has to dig through the rulebook on site.

In use by its first few users since summer 2026.

    Features:
    • Plain-language questions
    • Cited answers
    • Safety regulations
    • Workers’ compensation law
  • 04 · Health tracker

    Health

A health tracker for anyone who trains. Set your goals and it builds the plan to reach them, then keeps you on track, reading your Apple Watch or Whoop and your smart scale as you go.

    Features:
    • Adaptive training
    • Meals & macros
    • Supplement reminders
    • Apple Watch/Whoop sync
    • Smart-scale sync
    • Progress trends
    • AI coach

Who you’ll work with

I built it for my own business first.

Vlad Pavel · Vancouver, BC

Before software, I was a carpenter for ten years: framing, interior finishing, cabinetry, flooring, fences and decks.

When I co-founded Valora Concierge, we needed a website and a way to run the business, so I built both. Then I built a platform for the traffic control industry, and I’m currently building one for the flooring industry.

I use what I build. Now I build it for owners like you, one project at a time, and you deal with me from the first call to launch.

Built for one business. Yours.

How a build goes

Live in 2–4 weeks. Here’s the whole path.

  1. 01

    The consultation

One hour. I find what’s costing you time and money, and what each fix is worth.

  2. 02

Your plan and a fixed price

In writing within 3 business days of the consultation, before any work starts. The price in your plan is fixed, and what you paid for the consultation comes off it.

  3. 03

    The build

2–4 weeks from the day your build starts, depending on what’s in it. That includes moving your data over from your current apps and showing your team how it works.

  4. 04

    Then a flat monthly fee

Hosting, support, fixes and small changes, for as long as you use it. It never goes up.

I only take on one project at a time, ensuring yours gets my utmost and full attention.

Pricing

It starts with one hour.

Step one

Business consultation

$499One hour

One focused hour on Google Meet. We follow your work from the first enquiry to the final invoice, and I find every place it’s losing time and money. It’s paid because it’s real work: you keep the written plan whether or not you build with me.

You get, in writing, within 3 business days

  • Every bottleneck, found across ten areas of the business
  • What each one costs you, in hours and dollars
  • Your top three, ranked with you
  • My plan to fix them, and its fixed price

The ten areas: New enquiries · Quoting · Booking and scheduling · Assigning the team · On the job · Hours and payroll · Invoicing and getting paid · Keeping customers in the loop · Documents and compliance · Knowing the numbers

5 hours found, or your $499 back.

If I can’t find at least 5 hours a week your business is losing, you get the $499 back within 5 business days. Go ahead with a build and the $499 comes off its price.

Step two

Custom platform

From$14,999+ $499 a month

Every build includes

  • Your data moved over from the apps you use now
  • Your rules, built in
  • Only the features you need, plus ones built just for your business
  • Your team shown how it works before it goes live

The price depends on how many custom features you need, and it’s fixed in your written plan before any work starts. Half is paid to start, the rest once everything is up and running.

The $499 a month covers hosting, support, fixes, security and small changes, whatever the size of your team, and it never goes up while you use it. New features you ask for later are priced before I start them. The platform runs while the monthly is active; cancel any time and I send you a full export of your data.

FreeWith every build

A professional website in the same look, connected to the platform. Enquiries and bookings go straight in, and your services or products update from the same place.

Prices in Canadian dollars, plus applicable taxes.

Guarantees

Three promises, in writing.

  • 5 hours found, or your $499 back

If I can’t find at least 5 hours a week your business is losing, you get the $499 back within 5 business days.

  • A fixed price

The price in your signed plan is the price you pay. If the build takes more work than planned, that’s on me. Anything you add after signing is priced before I start it.

  • Your data stays yours

Cancel the monthly any time and I send you a full export of your data.

Before you book

Straight answers.

When do I pay the $499?

When you book. Asking for a time is free. Once I confirm it, I email you how to pay, by e-Transfer or card, and the call is booked once it’s paid.

What if the consultation finds nothing worth fixing?

If I can’t find at least 5 hours a week your business is losing, you get the $499 back within 5 business days.

Is this for my business?

It’s for business owners drowning in admin who are trying to get organized and scale up. If your week goes to quotes, schedules, timesheets and invoices instead of the work, it is. Not sure? Ask me first, and I’ll tell you before you pay anything.

How much of my time does a build take?

About an hour a week: a kickoff call, a short check-in each week while I build, and a training session for you and your team before it goes live.

Is my business’s information safe with you?

What you tell me stays confidential, and I use it only for your plan and your build. Your platform and its data are private to your business.

Can I keep an app I like, such as QuickBooks?

Yes. We decide in your plan whether it stays alongside the platform or moves into it.

Will my team actually use it?

It’s built around how they already work, and I show them how it works before it goes live.

What if I want to leave?

Cancel the monthly any time. The platform runs while the monthly is active, and your data is yours: I send you a full export of it.
